Inspection Report

Please find below an example of a report on a fictional property inspection. This illustates some of the common findings from inspection visits. The report makes it clear what actions need to be taken by the landlord in order for the property to meet the Code. In addition the general issues raised in this case inform the landlord of the areas where remedial action could make the property more marketable.

This report is sent to the landlord and the staff at Unipol are always happy to offer advice on the findings and work to be done.

Brief Summary of findings (a general commentary and description on what was found during the inspection):

The property is a 2 storey flat on the basement and ground floors of a pre 1920’s end of terrace house, in good decorative order. The tenants confirmed that they had signed an assured shorthold tenancy agreement and had paid an admin fee and not a deposit. The property mainly meets with the Code with the following exceptions:-

1. CODE COMPLIANCE (areas when non compliance with the Unipol Code was discovered, together with the Unipol Code reference that should be complied with):

4.06     A document of verification should be obtained showing that the wiring is in a safe and satisfactory condition. This should be done every five years. A copy of the current certificate should be forwarded to Unipol as soon as it has been prepared.

4.17     A mains interlinked heat detector should be fitted in the kitchen.

4.20     The closer on the kitchen fire door does not fully close the door, this should be adjusted to ensure proper closure.

4.25     Leeds City Council should be informed of names addresses and contact numbers of two burglar alarm key holders. A leaflet is attached for this purpose.

2. ADVISORY MATTERS: (where the Unipol Code states that the owner will be compliant with standards set by the Local Authority. In these instances Unipol can offer advice or the Local Authority can be approached for specific help. Where possible the relevant clauses from the LLAS scheme and LCC advisory documents are quoted)

•     None.

3. GENERAL ADVISORY MATTERS: (these are for note only and no further action will be taken by Unipol. It should also be noted that some of these matters may relate to disrepair, where a failure to undertake those repairs would, if a complaint was made, be in breach of Section 3.06 - 3.12 of the Code. This section may also include mention of any perceived poor performance on behalf of the tenants)

•     The front garden contains rubbish and is overgrown, this should be tidied up.

•     There are signs of damp in the top floor front bedroom, this should be investigated, repaired and redecorated.

4. RECOMMENDATION IN RESPECT OF MEMBERSHIP OF THE CODE: (this recommendation will fall into the following categories: continued membership; continued membership with Conditions; continued membership with conditions and a timeframe for works that, if not responded to, would result in suspension; suspension from the Code It should be noted that, in the event of suspension from the Code, this decision will be taken by the Code of Standards Tribunal where the owner will be notified of a hearing date and will have the right to make representations at the hearing. www.unipol.leeds.ac.uk/leeds/COS/Tribunal)

Membership of the Code is recommended subject to provision of a suitable timetable for completion of issues outlined in section 1 of the report. Due to the nature of the findings, a short re-inspection will be required once the necessary remedial work has been completed.  

The landlord/agent should confirm with Unipol, within 14 days of receipt of this report, their proposed timescale for carrying out any measures recommended above.
